How we handle the details you send through our enquiry forms. Last updated 25 October 2026.
Who we are
This website is run by Ryan Group Maintenance & Construction Ltd, trading as Ryan Group. We are the “controller” of the personal information you send us through the enquiry forms, which means we decide how and why it is used.
Contact us about your information at info@ryangroup.co.uk. Registered address: to be confirmed
What we collect
When you use a repair or project enquiry form we collect what you type or choose:
- your name and email address, and your phone number if you choose to give one;
- the postcode or town where the work is;
- the type of work, when you would like it done, and your description of the job;
- anything you later send us by email, such as photos.
To limit spam and repeated submissions, the server briefly holds a scrambled (hashed) version of your internet address and email address in its short-term memory. We cannot turn these back into your details, and they are not written to a database or kept. Our hosting provider may keep standard server logs, which include internet addresses, for a short period for security and reliability.
Please do not include sensitive information you do not need to share, such as bank details or health information.
Why we use it
We use your information only to:
- reply to your enquiry and, if you ask for one, prepare a quotation;
- keep a record of the conversation so we can follow up and deal with any questions about it;
- protect the forms from spam and misuse.
Our legal bases under UK GDPR are taking steps at your request before a contract (Article 6(1)(b)) and our legitimate interests in running the business and keeping our systems secure (Article 6(1)(f)). We will not add you to a marketing list or send you marketing without asking you separately, and we do not sell your information.
How your enquiry reaches us
The website does not keep your enquiry in a database. When you press send, it is emailed to us, and you receive a short acknowledgement email. Quotations and bookings are agreed by email between you and us; nothing is booked and no payment is taken through the website.
Photos
The forms do not upload photos. If you want to send some, reply to our acknowledgement email and attach them. They are then held in our mailbox like any other email. Please avoid photos that show people, number plates or documents.
Who we share it with
We do not share your enquiry with anyone for their own purposes. We use service providers who handle information on our behalf and only on our instructions: our email provider (Hostinger), which sends the notification to us, sends the acknowledgement to you, and holds our mailbox; and our website hosting provider. If a spam check (Cloudflare Turnstile) is switched on for the forms, it runs when you load a form and sends technical information from your browser to Cloudflare to tell people from bots. Some of these providers may process information outside the UK; where they do, transfers are protected by the safeguards UK data protection law requires.
How long we keep it
Your enquiry exists as emails in our mailbox. The email provider may also keep delivery records for a limited period set by that provider. If your enquiry leads to work, we may keep the relevant records for longer where needed for the contract, accounting, tax or insurance. You can ask us to delete your enquiry at any time.
How long we keep enquiry emails: to be confirmed by the business
Your rights
Under UK data protection law you can ask us to:
- tell you what information we hold about you and give you a copy;
- correct anything that is wrong;
- delete your information;
- restrict how we use it, or object to our use of it;
- provide it in a portable format where that applies.
Email info@ryangroup.co.uk and quote your enquiry reference if you have one. If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk. We would appreciate the chance to put things right first.
Cookies
This website does not set advertising, analytics or sign-in cookies. If the optional spam check is switched on, Cloudflare may use technical storage in your browser to run it.
